iiPay has a unique opportunity for a highly enthusiastic and motivated Bid Coordinator who wants to be responsible for producing professionally written proposal content in response to RFPs, RFIs, and RFQs, and that clearly articulates iiPay’s value proposition.


Role Overview

Our highly motivated and engaged team members are at the heart of our success!  The successful candidate will be responsible for managing the bid process for assigned complex proposals from kick-off/strategy meeting to proposal delivery. Must be able to demonstrate the ability to multi-task – managing more than one proposal at a time and a willingness to work extended hours, when needed. The ideal candidate will also provide proofreading skills, possess a keen attention to detail, and demonstrate dependability, flexibility, and exceptional customer service skills. After being fully trained, and then as needed, the individual will be expected to attend meetings and demos alongside our sales personnel, to present an overview of our proposition to C-level executive with potential clients. This position is based in our Cheltenham office.

Key Objectives


The successful candidate requires experience, skills and a proven track record in the following areas:


  • Facilitate proposal process by establishing priorities and target dates for information gathering, writing, review, and approval
  • Identify and outline key drivers and objectives of the potential client and ensure each is addressed in proposal
  • Review RFP and coordinate with stakeholders to provide questions back to prospect to better understand requirements and provide a more complete response
  • Coordinate with subject matter experts across the business for needed information
  • Edit documents for spelling, grammar, style, and content
  • Identify and re-word existing pre-written content where relevant
  • Deliver completed written proposal responses against RFP deadlines, and ensure delivery of proposal, whether through email, sourcing site, printed/shipped, or other means
  • Re-write / edit proposal responses from a variety of internal stakeholders
  • Create and update content for knowledgebase/response library
  • Work with Marketing for content and design elements, when needed
  • Ensure that proposals maintain a consistent tone or voice
  • Research companies, industries, etc. to be able to write with a more tailored approach
  • Gather appropriate policies and attachments required in response
  • Ensure each RFP requirement is met within the proposal response
  • Track bid activity
  • Ensure brand standards are adhered to and maintained across all proposals
  • Manage several proposals simultaneously
  • Remain current with iiPay’s solutions, products, and messaging to ensure the company’s competitive advantage is clearly communicated and understood in client-facing materials
  • Create, edit, and design follow up documentation (questions, presentations, etc.)
  • Obtains approvals by reviewing proposal with key providers and project managers
  • Improves proposal-writing results by evaluating and re-designing processes, approach, coordination, and boilerplate; implementing changes
  • Create and update templates for creating non-RFP proposals
  • Update job knowledge by participating in educational opportunities; maintaining personal networks
  • Collaborate with Marketing and Lead Generation to write/edit/design Insights, blogs, press releases, articles, email marketing content, case studies, and other content for marketing the business, as needed, and as time allows
  • Assist the business as a resource for approved written content
  • Global role – may require hours outside of normal business hours. Coordination between the UK and US offices and personnel

What are we looking for in you?

Minimum requirements:

  • 1-2 years in similar role
  • Excellent written and verbal communication skills
  • Professional speaking skills – able to make presentations to potential clients
  • Strong skills in Microsoft products: Outlook, Word, Excel, and PowerPoint
  • Excellent skills in proofing, spelling, and grammar


  • 3-5 years in similar role preferred
  • Experience in a payroll/HR environment
  • Graphic design/layout (experience in InDesign, Photoshop, Illustrator, etc.)
